SAP BusinessObjects Cloud ‘Simple URL + HCP access’ system upgrade – Instructions for admins

Dear Customers,

We’re in the midst of upgrading our SAP BusinessObjects Cloud tenants. This is an update that will bring you the following benefits:

  • A simpler, easier to remember URL that is customized for your organization (
  • The opportunity to connect to SAP HANA databases and other SAP applications on the SAP HANA Cloud Platform (HCP)
  • Integration with SAP Cloud Identity for authentication, or with your own SAML identity provider

Please note we will not be able to update your system unless all user accounts, including your own ADMIN profile, have a unique and valid e-mail address in the system. The instructions in the section below, “What to do before the update“, will help you prepare your system for the upgrade.

What to do BEFORE the update:

*The steps in this section must be completed before your system can be updated.

1 Ensure that all of the users in your system have unique and valid e-mail addresses.
This is an important step because immediately upon completion of the rollout, your system will automatically send emails to each user providing them with the new login URL.

Please note your own ADMIN profile must also have a valid and unique e-mail address.

TIP: A quick way to work with your user list is to first export the list as a CSV file, edit it offline, and then re-import the list. Be sure to check that each e-mail address is:

  • Unique (no duplicates)
  • Complete
  • Valid and properly formed (must be a real e-mail address as this user will receive an automated notification from the system after the upgrade)
2 If you are using your own identity provider (i.e. SAML based login), please create a support ticket to receive new metadata for your setup.
  • Log into the SAP Support Portal using your S-user ID.
  • Report an incident using the LOD-ANA-BI component.
  • In your incident, attach your IdP metadata file. This incident should also include the following details (feel free to copy and paste):
    • Subject: SAML setup request for BusinessObjects Cloud tenant
    • Description: Please enable SAML 2.0 SSO for our SAP BusinessObjects Cloud tenant using the attached identity provider (IdP) metadata.
    • Tenant URL:
  • After you submit your incident, you will receive metadata from the SAP BusinessObjects Cloud Operations Team that you can use to finalize your setup.
3 If you are still using the original BusinessObjects Cloud login page and credentials, please notify your users that they will need to activate their new email-based login.
  • If you still use the login page shown below, your system will be changed to use SAP Cloud Identity for authentication:
    • All users will receive an account activation email from SAP Cloud Identity.
    • Users will need to set a new password as part of account activation.
    • Users must subsequently go to your new BusinessObjects Cloud URL to see the new login page and to log in with their email address and their new password.


Note: If you have just recently started with BusinessObjects Cloud, and your users are already using email-based logins, they will not need to set a new password after this upgrade.

 

What to do AFTER the update:

1 Check that you received the new login URL in a system-generated e-mail.

If the upgrade was successful for your system, all users will receive a system-generated e-mail with the new login URL.

If you did not receive this e-mail and are not able to access the new URL provided in our notification e-mail, please skip to step 2 below.

If you are able to access your system via the new URL, please note you may need to reconfigure your reverse proxy rules and re-enable SSL with any remote systems.

Note: Cloud connectors will work post-upgrade, you do not need to reset these.

Once you’ve followed the steps above, you should be able to enjoy the benefits of the upgrade, including creating live data connections to SAP HANA.

2 Check that users without email-based logins received their account activation emails.
As indicated above, users who were not already using email-based logins will receive an account activation email and will need to set a new password as part of the account activation process.
3 If you did not receive a system-generated e-mail:

We will be monitoring your system upgrade. If for any reason your system is not updated during the specified maintenance window, please check your system to see if there are any missing, invalid, or duplicate e-mail addresses for your users (including your own admin account). Invalid, missing, or duplicate e-mail addresses is the most common reason why tenants may not be upgraded.
